Personal information protection policy

As a systems integrator, we recognize our significant social responsibilities to protect personal information of our customers and our employees. We shall therefore strictly observe the laws concerning the rights of individuals and handling of personal information, as well as the guidelines and norms determined by the country. We shall also build a management system for protecting personal information in order to effect the policies indicated below. Our entire company will always strive to continually improve this system, focusing on needs, social environment, technological trends, etc. pertaining to personal information.

  • Personal information shall be obtained, used and provided only to the degree required for our business, hiring, or personnel management purposes. Such use or provision shall never exceed the degree required for the specified purpose.We shall also take necessary measures in order to prevent any use other than for the specified purposes.
  • We shall strictly observe the Personal Information Protection Act and all relevant official guidelines and norms.
  • We shall identify and assess risks concerning the leakage, loss, or damage of personal information and take reasonable safety measures.
  • We shall operate the personal information protection management system appropriately to prevent any leakage, loss or damage of personal information. We shall also incorporate our managerial resources in line with the latest technological trends in order to continually improve our security system for personal information. In the event that any problematic issues or irregularities occur, we shall identify the cause and take measures to correct and prevent their recurrence.
  • We shall provide a point of contact to handle consultations and complaints.
  • We shall continually improve our personal information protection management system, reviewing it as appropriate in view of changing circumstances surrounding personal information and the latest technological trends.

We shall inform all our employees of this policy and endeavor to educate them and heighten their awareness of personal information protection.

Handling personal information

(3) Purpose of use of personal information

We shall obtain personal information only to the degree necessary for our purpose of use and only after informing you in advance that we will do so and for what purpose we will use the information obtained. We will only use the personal information obtained for purposes for which we have obtained the consent of the person concerned. We will not handle personal information beyond the scope of the purpose of use and will take measures to prevent such handling. Personal information shall be obtained and used for the following purposes.

  • Recruiting our full-time staff and other employees
  • Employment matching based on skill, experience, request, etc.
  • Notification to place of work based on the Worker Dispatching Act
  • Labor management during employment
  • Implementing educational and training programs
  • Business related communication and emergency communication in times of disaster
  • Notification and announcement of welfare and benefit services, training programs, etc.
  • Business involving payment and claims
  • Responding to inquiries about changes in information, etc.
  • Legal reports and notifications for the social insurance office, the health insurance association, the employment security office, etc.

In case of changing the purpose of use or using for purposes other than the above, notification shall be made and consent obtained in advance.

(4) Providing personal information to third parties

Personal information that we obtain shall never be provided to a third party without the consent of the individual concerned unless required by law.

(5) Voluntary nature of personal information submission

Submission of personal information designated by us is voluntary. If personal information is not submitted, however, difficulties may occur in clerical procedures, etc.

(6) Consignment of personal information

We may consign handling of personal information to a consignee who meets the necessary standards of personal information protection determined by our company. We shall conclude a nondisclosure agreement with our consignee and conduct necessary and appropriate supervision for purposes of safety management of the personal information so consigned.

(7) The consultation service desk for handling complaints and disclosure of personal information

In the case that the individual in question has requested notification, disclosure, correction, addition or deletion, suspension of use, erasure and suspension of provision to third parties (hereafter referred as 'disclosures') of personal information possessed by our company, we shall take action promptly and appropriately.

(8) Means to request disclosure

a) Requesting in person
Please fill in the necessary items on the personal information disclosure request form and submit a personal identification document (drivers license, passport, health insurance card, residence card, etc.)
b) Requesting by mail, FAX or e-mail
Please request a personal information disclosure request form at the consultation service desk, fill in the necessary items, and submit any personal identification document (drivers license, passport, health insurance card, residence card, etc.) together with the completed form. Personal identity will be verified upon receipt of the form.
Upon receipt of a personal information disclosure request form, the supervisor of the personal information complaint/consultation service desk will take the contents of the request and of the relevant personal information into consideration and make a decision. After a decision has been reached, it will be written on a personal information report form and delivered to the requester along with the personal identification documents.
